Manufacturing · Smurfit Westrock

One record per customer enquiry, one ID that follows the box, and a stage everyone can see.

A customer enquiry for packaging moved between Sales, Design, Graphics and Commercial by email, spreadsheet and word of mouth. Nothing followed the job, and a sales rep could not answer 'where is my enquiry' without asking around.

What we built

An enquiry workflow built to the way the site works, replacing a generic work-management tool.

An enquiry workflow that owns a customer request from arrival to proposition: quote, sample, artwork, pallet plan or test result.
Two entities, not one: the Item is the box specification and owns the ID; an Enquiry is a request against it, with a type, stage, timeline and attachments.
A configurable field system that keeps the product owner's own field codes as stable identifiers, with an admin screen and a spreadsheet importer, because the list keeps changing.
A stage machine per enquiry type across four departments, with dependency rules configured rather than coded. Soft rules warn and let the user override with a recorded reason.
Attachments tagged by kind on private cloud storage, and an append-only timeline of every field change, stage move, note and override.
A native iOS app with no sign-in of its own: acknowledge, photograph, mark tooling received, move a stage, add a note, read the timeline.
model

Item versus enquiry

A quote mints a new box specification. A sample, artwork, pallet plan or test can only attach to one that already exists.

access

Deny by default, once

The same scope and permission checks run unchanged on the web and on the phone, because both read the same verified identity.

delivery

A deploy that checks itself

Every affected page is fetched after upload. A blank page, a 404 or a fatal fails the deploy and names the page.

How it plugs in

Not an ERP. Deliberately.

The site's existing systems stay where they are. Flute sits beside them, signs in through Prolink Hub, and reaches the phone through the same identity.

What changed

The enquiry now has one record, one ID that follows the specification, and a stage the whole site can see. Iteration two replaces sign, scan and upload with a secure expiring approval link for the customer.
